Office Manager
General Requirements:
– Minimum 1 year of experience as an office manager or in an administrative role (preferably in the IT or tech industry)
– Fluent in Language Russian or Ukraine
– Polish proficiency at B1 level or higher (for communication with international teams and vendors)
– Confident use of Google Workspace (Docs, Sheets, Calendar), communication tools (Slack), and task management systems (Jira, etc.)
– Strong ability to adapt quickly, multitask, and prioritize effectively
Communication Skills:
– Friendly, proactive, and customer-oriented attitude
– Clear and professional written and verbal communication
– Ability to collaborate with different departments (HR, IT, People Team, Legal, Finance)
Organizational Skills:
– Experience organizing office operations: ordering supplies, equipment, water, and maintaining inventory records
– Experience working with business center representatives and external service providers (cleaning, couriers, maintenance, etc.)
– Ability to monitor and quickly resolve issues related to office equipment and technical maintenance
Technical Responsibilities:
– Document management: inventory, office expenses, incoming/outgoing documentation
– Support during employee onboarding: welcoming new hires, giving office tours, handling hardware, and setting up access passes
– Administration of booking systems for meeting rooms and workstations
Nice to Have:
– Basic understanding of IT office infrastructure (routers, access points, printers)
– Experience with office relocations, organizing corporate events, or managing external contractors

- -Monitor repair needs and report issues (e.g., climate control, furniture, maintenance) through the task portal
- -Oversee booking systems for meeting rooms and workstations
- -Be the first point of contact for any questions or concerns regarding the office
